Weinberg Campus near Amherst, NY is seeking a Full Time Office Coordinator for our Assisted Living Community, Dosberg

What will I do as an Full Time Office Coordinator with Weinberg Campus?

The Office Coordinator:

  • Assists as needed with administrative copying, typing, faxing, mailing; answering phones and organization.  
  • Completes daily/weekly payroll for all Dosberg staff on the Kronos system and maintains all Dosberg staff attendance records including tracking of benefit time and maintaining the hours specified in the budget each day along with accounting for all overtime hour usage.  
  • Prepares and posts monthly schedule, weekly needs sheets, daily sheets(ensuring there is always a medication trained staff on shift-DOH required);  union postings; status change forms; and training/preceptor schedules Completes corrective actions related to time and attendance and assists Resident Care Manager with setting up appointments with union delegate and employee within timeframe.  
  • Schedules employee annual physicals/PPD's; annual competencies; aide supervisions, sends information /notices on in-service trainings/staff meetings/license/first aid renewal and maintains documentation for DOH purposes for Dosberg Manor.
  • Maintains admission packets; generates face sheets and resident data in PCC and ensures  admission paperwork is distributed within the department and for outside departments for Dosberg Manor.
  • Maintains Chronological Admission/Discharge Register(DOH required) for Dosberg Manor.
  • Assists with interviewing PCA's and Resident Care Coordinator candidates; completing needed paperwork and making recommendation to the Administrator.
  • Assists Administrator for Dosberg Manor with maintenance of needed documentation and files. 
  • Completes all coding of invoices for Administrator approval and faxes/scans requested materials to DOH or other parties from Administrator.

What do I need to be successful in this role?

  • Computer proficient including Microsoft Word, Outlook and Excel.
  • Possess a High School Diploma or GED.
  • Experience with administrative office responsibilities such as filing, faxing and organizing of materials.
  • Experience with handling staff scheduling, includung tracking of benefit time.
  • Experience with completing employee payroll.
  • Previous experience in health care or an insurance setting.
  • Customer Service experience.
  • Experience supervising other staff in a professional environment.
